Medical Receptionist
SUMMARY:
The Medical Receptionist is responsible for interacting with patients in a healthcare setting and managing
administrative tasks for the medical team. Their duties include scheduling appointments according to Doctor
availability, confirming appointments, handling forms and collecting payments.

PRIMARY RESPONSIBILITIES:
CHECK IN:
- Greeting patients and visitors, in person or on the telephone, answering or forwarding inquiries.
- Login and select correct office location
- Monitor and distribute all incoming faxes to appropriate departments
- Send out all outgoing faxes to appropriate locations.
- Intake management through Phreesia
- Confirm demographics: address, phone number and insurance utilizing Phreesia
- Collect copay or offer information regarding the office policy on deductible plans. Note in miscellaneous notes once family is made aware of policy.
- Make sure family is given any handouts or surveys associated with the appointment and mark task as completed in OP.
- Validate and scan insurance cards.
- Collect on accounts that have a balance over 30 days unless patient prefers to pay all open balances
- Run credit cards through Phreesia system
- All money (cash/checks/credit cards) needs to be reconciled in OP and Phreesia and totals entered onto summary sheet. Closer sums up receipts for the day, and prints out the Phreesia payment report for all users at their location
- Updating new patient transfers and or the patients demographics.
CHECK OUT:
- Make sure every patient stops at your window
- Schedule all recheck appointments, make sure to also check if patients are due for PE when they stop at checkout. We can now schedule out a year ahead so be sure to ask parents if they want to make PE appt. for next year.
- Complete all tasks assigned to Front Desk department and mark “completed.
- Call patients who leave without scheduling recommended follow ups.
- Give all additional handouts if tasked by provider.
- Coordinating with medical team regarding forms.
- Support medical team with any day-to-day needs.
- Collect any balance/deductibles.
- Check Op messages
SKILLS AND QUALIFICATONS:
- Strong communication, both written and verbal
- Organization and time management to manage a variety of task effectively
- Attention to detail
- Adaptability and flexibility
- Comfortable working in a fast paced environment
- Computer literacy
- EMR experience. Specifically Office Practicum
- Phone skills, including familiarity with complex or multi-line phone systems
- Interpersonal skills to interact with patients and families
- Ability to speak multiple languages, especially Spanish and Portuguese
ADDITIONAL RESPONSIBILITIES:

EDUCATION AND EXPERIENCE
- High school diploma
- 1-2 Years experience working in a busy medical practice
WORK SCHEDULE
- Saturday and Sunday
